Stop Lumping Annual Costs Into One Month

You pay the year’s liability insurance in one $6,000 check in January. Your January P&L shows a $6,000 expense. The other eleven months show none.

January looks like a catastrophe, and every month after looks better than it is. If you’re comparing months to decide anything, you’re comparing noise.

Same shape when you buy a $14,000 well pump. It lands as one month’s expense instead of being spread across the years it actually serves.

What changed

Each saved cost line on a bill now has a calendar button — Spread this cost over time. It opens a New Deferral with the account and amount already filled in. You choose Monthly, Quarterly or Annual, and how many periods.

The preview table is the feature. Before you save anything, the Schedule preview shows every period, its dates and its amount, computed by the same routine that will write them. What you approve is literally what gets written.

BasicBMS New Deferral form for a $1,000 prepaid insurance premium spread monthly over three periods; the Schedule preview shows $333.33, $333.33 and $333.34, totalling $1,000.00.
The preview before anything is saved. The last period carries the odd cent, so the schedule totals the original amount exactly.

Then each period is released with one balanced journal entry when its time comes:

  • Prepaid insurance debits the expense and credits Prepaid Expenses. $6,000 over twelve months is $500 a month.
  • Depreciation debits depreciation expense and credits Accumulated Depreciation. The asset’s net value on the balance sheet goes down, the way it should, instead of sitting there at full cost.

Here’s how to actually do it: How to spread a prepaid expense across the year and How to set up a depreciation schedule.

Why this is the part that matters

$1,000 over three months is not $333.33 three times. That’s $999.99, and the missing cent is exactly the kind of thing that turns into an adjusting entry eighteen months later.

PeriodAmount
1$333.33
2$333.33
3$333.34
Total$1,000.00

The last period carries the remainder, so the schedule totals the original amount exactly. And $0.05 over twelve months is simply refused — a schedule you can’t post is worse than no schedule:

$0.05 does not divide into 12 periods of at least $0.01.

It won’t post into a closed month

Close February, then try to release a period dated into it, and it stops:

Period 2 is dated into a closed accounting period (Feb 2026). Reopen it, or re-date this period.

Nothing is written. Closed means closed.

Nothing releases on a timer

Most systems would run this as a nightly job and write entries into your ledger while you sleep. This doesn’t.

Every period waits for a person. When it comes due it shows up on the Unposted Items report, and it posts only when someone releases it — one at a time, or with Post All Due. Fall three months behind and catching up still writes three separate entries, each on its own date, not one lump.

Slower on purpose. Automated journal entries are how a set of books drifts somewhere nobody can reconstruct.

Cancel the policy or sell the pump, and you can stop the schedule: the unreleased periods are cancelled and the remainder is written off in one entry. The released total still matches what you paid.

What this isn’t. This is not a fixed-asset register. Depreciation hangs off the bill line that bought the thing — no cost basis, no salvage value, no disposal handling, no per-asset accumulated depreciation. Straight-line only. A schedule can be stopped, but not reshaped midway. If you need a full asset register, that isn’t here yet — and we’ll say when it is.

Still modular

Start with what you run. Six core modules — Customers, Employees, Suppliers, Payables, Invoices, and a full general ledger — for $150 a month. Add Work Orders, Communication, or Projects for $25 each. Every user included, no per-seat games, no forced bundles.

Implementation is a one-time build: we configure your modules around your workflow and load your data, so you don’t start on a blank screen.
