How to
How to see and fix the time logged on a work order
Before you bill a job, you want to know how many hours went into it, and whether someone forgot to clock out. The Time panel puts that on the work order itself: total hours, the last ten punches, anyone still on the clock, and buttons to add a missed punch or correct a wrong one. Your crew keeps clocking in and out the way they do now; this is where you see the result.
Before you start
- The work order layout includes the Time panel. It's a panel you add in the form builder, so older work orders won't have it until you add it to the template and push it to them (see Layout Push below).
- Your crew clocks time against work orders and workstations.
- Anyone who can open work orders can see the panel. Adding, editing and deleting time needs work order administrator rights.
Steps
Open the work order. The Time panel shows the total, such as "12.50 hrs", and a count: "N punches · N in progress · showing last 10".
Read the last ten punches: Date, Employee, Workstation and Hours. A punch that's still open reads In progress and isn't in the total yet.
To add a missed punch, click Add Time. Pick the Employee and Workstation, set Start and End, add a Comment if it helps the next person, and click Save.
To fix a punch, click its Edit button to open Edit Time, correct it and click Save. On an open punch, leaving End blank keeps it open.
To remove a punch, click its Delete button, then Yes at "Delete?".
Check before you bill. An In progress punch on a job that finished last week almost always means someone forgot to clock out. Its hours aren't in the total, so the job looks cheaper than it was. Open it with Edit, set End to when they actually left, and save; the total updates. Do the same for a punch with an end time that's obviously wrong, such as a fourteen-hour lunch, before the time is billed.
Rolling it out. To put the panel on work orders you already have, add Time to the work order template in the form builder, then push that layout to existing work orders. The push adds the panel and changes nothing else on them.
What posts behind it
Nothing when you add or fix time. The panel tracks hours only; there's no pay rate or cost on it. Time reaches money when the work order's time is billed, and that posts with the invoice.
When it won’t let you
That workstation is already on this work order. A workstation can be on a work order once. Pick it from the existing entry instead of adding it again.
If Add Time isn't there, your login can view work orders but not change their time.
If the panel shows "No time logged on this work order yet.", nobody has clocked against it, or they clocked against a different work order.
What this doesn't do
It shows hours, not wages or job cost. It lists the last ten punches, not every one (the total counts them all). It doesn't replace the time clock: crews still punch in and out there. And it doesn't appear on work orders until the layout includes it.
